Before the crate: prepare the equipment record

Good preparation begins with a description and a responsibility list. Physical cleaning, disconnection and transport preparation must follow the appropriate site and manufacturer procedures.

Describe what has been used with the system

Flag relevant handling requirements to your authorised site contact. Do not send chemical samples or attempt a generic cleaning procedure based on a website. The equipment’s history determines which competent people need to be involved.

Record attached services

Note connections to gas, cooling, extraction, vacuum or other services without disconnecting them. Identify shared supporting units and whether they are included. The person arranging collection needs an accurate scope and access plan.

Keep accessories identifiable

Label photographs and inventory rows for trays, racks, holders, detectors and removable modules. State whether spare parts are used, unused or of unknown condition. Do not treat a box of accessories as a verified complete kit.

Agree readiness before movement

Confirm sale approval, preparation responsibilities, packing scope and collection arrangements in writing. Tell us about floor access, lifts, loading restrictions and timing. A clear purchase discussion should happen before a system is dismantled.

A reusable equipment record

The CSV template opens in common spreadsheet applications. Keep one row per item and link related modules with a system reference. Leave genuinely unknown details marked as unknown.
